Critical Spare Parts

Critical spare parts are components held in stock because their unavailability during a failure would cause unacceptable downtime, safety or environmental consequences, typically identified through criticality analysis of the assets and parts concerned.

Spare parts strategy decides which parts to stock, in what quantity and where. Criticality is usually assessed from the consequence of the equipment failing, the likelihood of the part failing, the replacement lead time, availability from suppliers and the cost of holding stock. Parts with long lead times for critical, non-redundant equipment, such as custom gearboxes, spindles, large motors or obsolete electronic modules, are often held as insurance spares even if they are rarely used.

Effective spare parts management balances the cost of downtime against the cost of inventory. Maintenance and reliability data, such as failure rates and repair times, feed stocking decisions, and minimum and maximum levels or reorder points are maintained in a CMMS or ERP system. Organisations also pool spares across sites, agree consignment or rapid-delivery arrangements with suppliers, and standardise components to reduce the number of different parts needed.

Stored spares need proper preservation, for example periodically rotating the shafts of stored motors and protecting electronics from humidity and static, otherwise they may fail when installed. Obsolescence management is important for control systems and electronics whose manufacturers discontinue products. Spare parts lists linked to equipment records, and regular reviews of slow-moving stock, keep inventory relevant.
